Job Description

o Manage a number of project files simultaneously including the timely booking of internal and external services e.g. transport, case making, freight etc.
o Ensure scope of project information is correct e.g. end date, projection date and value of invoice and management of costs
o Co-ordinating all aspects of shipping project items from one destination to another
o Assessing your clients individual needs on a daily basis - liaising with overseas agents, private collectors galleries, auction houses, artists, transport companies etc)
o Communicating with our clients, guiding them through the process of shipping their pieces from different locations
o Quoting and coordinating both domestic and international shipments
o Arranging customer collections and deliveries, which may also include the arranging of specialist packing services
o Preparing and processing all documentation and the booking of the chosen method of transportation
o Efficiently handling paperwork including bills of lading, labelling, timesheets and detailed condition reports with photos, customs clearance and advising the customer of any required payments due
o Invoicing: ensuring invoices are produced on time, month to month or in advance as the job file requires
o Preparing operational reports detailing all work done and comprehensive record keeping, including on our freight management system
o Produce a cost analysis and reports of projects

· Co-ordinating all aspects of shipping high end goods, fine art and antiques, domestically and internationally
o Liaising with overseas agents, private collectors galleries, auction houses, artists, transport companies etc)
o Communicating with our clients, guiding them through the process of art shipping of their artefacts from different locations
o Coordinating international shipments, with the focus on air freight
o Arranging customer collections and deliveries, which may also include the arranging of specialist packing services
o Preparing and processing all documentation and the booking of the chosen method of transportation and handling paperwork including bills of lading, labelling, timesheets and detailed condition reports with photos, customs clearance and advising the customer of any required payments due

· Assisting in handling and managing key accounts:
o Communicating with clients and assessing their individual needs
o Guiding clients through the process of art shipping of their artefacts from different locations
o Liaising with overseas agents, private collectors galleries, auction houses, artists, transport companies etc)
o Assisting with quoting on both domestic and international shipments

· Communicating with sales and operations team throughout the day
· Provide administration assistance to sales team
· Provide assistance throughout the business as and when required
· Attend regular team meetings
