Job Description

Job Title: Receptionist/Facilities Co-ordinator
Purpose/Objectives of Job
To ensure all callers, visitors and contractors are dealt with efficiently and promptly, ensuring the branch is able to operate smoothly & effectively.

Responsibilities and Tasks
· Follow procedure for signing in visitors/new staff members in accordance with CAA/AEO regulations
· Answer incoming calls & redirect to the correct member of the team as required
o Be aware of staff absences when transferring calls
o In the event that a call is not picked up by the team, notification to be sent promptly & accurately advising name, number & brief message
· Carry out monthly H&S site inspections
o Walk round of the building completing checklist
· Control all incoming & outgoing mail
o Incoming mail to be opened, sorted & distributed accordingly
o Outgoing mail to be franked & sent on the required service
· Liaise with building contractors/suppliers
o Regularly discuss requirements & service levels with our suppliers
o Proactively manage costs/rates with the assistance of the General Manager
o Arrange & facilitate site visits (both regular service visits & emergency visits)
o Escort visitors around the building whilst on site in accordance with CAA/AEO regulations
· Stationery ordering & stock control
· Set up meeting rooms as & when required
· Operational support (scanning, data entry etc…)
· General tasks as directed by Senior Leadership Team

Person Specification
· Fluent in written & spoken English
· Friendly and personable
· Pro-active
· Effective communicator with colleagues, clients & suppliers
· Fundamental IT skills
· Own Transport

General Info
Annual Leave: Starts at 22 days (plus Public Holidays) rising to 23 days after 5 years, 24 days after 7 years and 25 days after 10 years of employment

Pension: After 3 months of employment, they are auto-enrolled to our Group Pension with Scottish Widows. The current contribution rates (as set by the Government) are 3% Employer contributions and 5% Employee contributions

Salary: GBP22,000 to GBP25,000 (salary depending on experience)

Working Hours: 08:30-17:00 (preferable hours but can move by 30 mins each way if necessary)
