JOB DESCRIPTION:
Operations Assistant

Job Summary:
As an Operations Assistant, you will play a vital role in ensuring the smooth and efficient execution of our logistics operations. You will collaborate with internal teams, clients, and partners to manage shipments, oversee compliance with industry standards, and contribute to the success of our time
critical and specialised logistics solutions; being part of a young, dynamic and highly skilled team.
Key Responsibilities:
1. Operational Support:
o Manage quote requests from new and existing customers and providing competitive rates to win more business and meeting team targets set on weekly / annual basis.
o Coordinate and monitor shipments across air, sea, road, and courier networks.
o Assist with the preparation of shipment documentation, including Air Waybills (AWB), Bills of Lading (BOL), and Proof of Delivery (POD).
o Track and trace shipments, providing clients with regular updates on progress and resolving any delays or issues promptly.
2. Customer Service:
o Act as the primary point of contact for client enquiries, ensuring exceptional communication and problem-solving.
o Provide tailored logistics solutions to meet client requirements and deadlines.
3. Compliance and Documentation:
o Ensure all shipments adhere to customs regulations, industry standards, and company policies.
o Verify and process customs declarations, invoices, and other required documentation.
4. Systems and Tools:
o Utilise internal systems (e.g., Boxtop FMS, Boxtrax WMS) for shipment tracking, inventory management, and reporting.
o Maintain accurate records in line with policies using all tools provided i.e. email, BrightHR, DropBox and the intranet to ensure compliance with company policies.
5. Collaboration:
o Work closely with the Operations Manager and other departments to streamline
workflows and improve efficiency.
o Support the team in achieving operational KPIs and delivering client satisfaction.
6. Continuous Improvement:
o Identify opportunities to improve processes and reduce operational bottlenecks.
o Stay informed about industry trends, regulations, and best practices in freight forwarding. Learning new skills to grow with the business and further develop.
Key Qualifications and Skills:
Experience: Previous experience in logistics, freight forwarding, or a related field is preferred.
Knowledge: Familiarity with air, sea, and road freight operations, including customs procedures and industry documentation or training can be provided to the right candidates.
Skills:
o Strong organisational and multitasking abilities.
o Excellent communication skills, both verbal and written.
o Proficiency in logistics systems (e.g., Boxtop, Boxtrax) and Microsoft Office Suite.
o Problem-solving mindset with the ability to work under pressure.
Education: A degree or diploma in logistics, supply chain management, or a related discipline is advantageous but not required.

Hours: Monday to Friday 9am to 5.30pm with weekend / evening coverage on rotational basis.
Salary: GBP20,000 - GBP25,000 pa
