Reporting To
Office Manager, Operations Director, or Senior Executive
Job Discription
To provide comprehensive administrative and project support during a company office relocation, ensuring all move-related tasks are planned, coordinated, and executed efficiently to minimize downtime and disruption to daily operations.
Office Move Specific Duties
Logistics Coordination: Liaise with removal companies, contractors, IT support, and other suppliers to schedule and manage all aspects of the physical move.
Inventory Management: Create and maintain a detailed inventory list of all office furniture, equipment, and supplies, coordinating the labeling and packing process.
Communication Hub: Act as the primary point of contact for all staff regarding the move, communicating timelines, procedures, and updates to ensure everyone is well-informed.
Space Planning Support: Assist with desk allocation and seating charts in the new office layout, ensuring a smooth transition for staff.
Supplier Management: Coordinate the termination or transfer of existing contracts for services (e.g., utilities, internet, cleaning) and set up new services at the new location.
Documentation & Filing: Oversee the organization, archiving, and physical transfer of files and records, ensuring data security and easy retrieval at the new location.
Snagging & Follow-up: Post-move, manage a list of any issues (e.g., IT problems, maintenance needs, missing items) and coordinate their resolution with relevant suppliers.
Standard Personal Assistant Duties
Diary & Schedule Management: Proactively manage the executive's complex calendar, including scheduling meetings, appointments, and travel arrangements (flights, accommodation, transport).
Correspondence Management: Screen and direct phone calls, emails, and physical mail, drafting responses on behalf of the manager when appropriate.
Meeting Support: Organize and attend meetings, prepare agendas, take minutes, and ensure all necessary documentation is available.
General Administration: Produce reports, presentations, and briefing papers, and maintain effective filing and data management systems.
Expense Management: Collating and filing expenses and potentially assisting with budget tracking.
Ad-hoc Support: Carry out specific research projects and handle personal errands where required,
Maintaining discretion and confidentiality.
Required Skills and Qualifications
Proven Experience: Prior experience in a PA, Executive Assistant, or Office Manager role, preferably within a dynamic office environment.
Organizational & Time Management Skills: Excellent ability to multitask, prioritize a demanding workload, and meet deadlines.
Communication: Exceptional verbal and written communication skills to liaise with all levels of staff, suppliers, and clients.
Problem-Solving: Proactive mindset with the ability to take initiative and resolve issues autonomously.
IT Proficiency: Strong knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and the ability to quickly learn new systems.
Discretion: Utmost discretion and an understanding of the need for confidentiality when handling sensitive information.
Flexibility: Adaptability to changing priorities and occasional out-of-hours work, especially around the move date.
Salary up to GBP32,000 D.O.E
