Our client is looking for an Airfreight Export/Import Operator - Healthcare

The Role will provide effective Air Pharmaceutical Product Service and Solution, whilst increasing the companies revenues through negotiating the maximum amount of profit with Airlines and Vendors alike. The Air Export/Import pharmaceutical operator is responsible for the planning and booking of all exports on behalf of internal and external customers in the most efficient and cost effective manner whilst achieving the required service levels. Dealing with all documentation and liaising with Company Partners and our customers. The Export/Import operator is also responsible for communicating with all internal functions.

Key Tasks and Responsibilities will include:

Dealing with internal and external customers on a day to day basis.
Developing effective relationships and negotiating with carriers and overseas agents, on a face to face basis when required.
Pre-booking identification with Support/Guidance of Product.
General Airfreight Service Levels Steered and used where necessary.
Consolidations, consolidation days and Airline usage optimised.
Entering HM Customs entry procedures, import and export (NES). CDS experience preferred.
Ensuring accurate data is processed in system such as billing and operational functions.
Supporting the Sales/Product team with the most efficient and cost effective way of transporting goods.
Airline and palletisation and ULD building.
IATA/CASS reconciliation.
Ensuring that management is kept fully informed and taking advice where necessary, on any serious HR issues, which may arise.
Providing support and guidance to the team, on any Booking Centre/Gateway/Processing issues, as and when required.
Ensuring accurate accruals and cost accuracy.
Accuracy and timelines of documentation (HAWB/MAWB/DUCR/MUCR) processing meets KPI requirements.
Ensure accurate data is entered into system.
Review all customer booking instructions ensuring these are understood and followed.
Provide all relevant service providers with the required information for successful service delivery.
Ensure full understanding and strict compliance to import and export customs processes and procedures.
Ensure all delivery instructions are clear, concise and are provided in the correct format.
Communicate with all operations to ensure the accuracy of consignment labelling.
Manage all consignments by obtaining the latest delivery information and monitor accordingly.
In the event of a service failure identify the root cause and take appropriate action to address ensuring the customer is kept fully informed.
Accurate and timely management of all mandatory milestone data.
Delivery of accurate costs within system thus alleviating potential revenue variances.
Raising sales invoices accurately within agreed KPI timescales.
Comply with all relevant work and safety legislation, standards and organisational procedures and UK security regulations.
In depth understanding of the airfreight product including Incoterms.
Research and provide competitive quotations to both internal and external customers and follow to ensure good success rate.
Provide customer reports where required.
Constantly consider initiatives which will enhance the customer experience.
Be committed to excellent service quality.
Responding to customer enquiries professionally and promptly and liaise with customers on all queries and issues
Manage and achieve department and company KPIs
Support month end financial processes
Support sales to develop new and existing business by sharing sales leads.
Responding to customer booking and overseas agents requests
Liaising with overseas branches and internal customers
Liaise with all new and regular customers on all queries and issues through regular contact by telephone.
Take all incoming calls from customers and all bookings using appropriate documentation
Ensure any special requirements or instructions are clearly specified.
Provide the relevant people with instructions on marking and labelling the goods

The Import side of the role

To fully understand and be conversant with standard operating procedures.
Advise operations of special requirements
Handling purchase invoices promptly and raising sales invoices accurately within agreed KPI timescales
Raising of appropriate documentation (list is not exhaustive) Master Airway Bills MAWB & House Airway Bills HAWB Certificates of Origin, Legalisation of supplier documentation.
Accruals and cost accuracy.
Ensure all KPI targets are met
Completes all required import paperwork including customs work, invoicing and all other essential air Import documentation.
Review all customer booking and clearance instructions ensuring these are understood and followed.
Ensure full understanding and strict compliance to customs processes and procedures.
Manage all consignments by obtaining the latest status information and monitor accordingly.
Ensure the recovery of air cargo is managed and complies with ETSF.

The ideal candidate will be educated in Maths and English (oral and written) to GCSE, Standard Grade or equivalent; grade A-C and be able to demonstrate highly competent computer skills in all areas of Microsoft office.

The ideal candidate will have a background within a customer service/operational environment and ideally a working knowledge of international freight. Able to work in a team, the ideal candidate will be self-motivated and able to build strong relationships in a short period of time.

Using strong organisational skills, they will be able to prioritise and work to tight deadlines. They will also be able to deal with problems in a positive way and have the enthusiasm to learn and adapt to change, along with a desire to succeed and improve upon current standards. Salary is dependent upon qualifications and experience.

Salary is up to GBP34K dependent upon qualifications and experience.

Hours: Full time, 37.5 hours per week, 9:00 - 17:30 Monday to Friday
