Responsible To: Operations Manager
Location: West London
Salary: 25k-30k

The team has extensive experience managing complex and high-value art logistics projects, both nationally and internationally, with a strong focus on professionalism, attention to detail and exceptional customer service.
The Role
We are seeking a highly organised and detail-oriented individual to join the team as a Junior Fine Art Operations Coordinator.
The successful candidate will support the day-to-day operations of the Fine Art department, helping to coordinate shipments, maintain accurate records and documentation, and communicate effectively with clients and internal teams.
This would suit someone with a genuine interest in fine art and logistics who is looking to develop a career within a specialist and growing sector.
Key Responsibilities
Logistics & Shipment Coordination
Coordinate the movement of fine art cargo from collection through to delivery.
Schedule shipments and arrange appropriate transportation.
Monitor shipments to ensure goods are delivered safely, securely and on time.
Track shipments and provide updates where required.
Assist with resolving any issues that arise during the transportation process.
Administration & Documentation
Maintain accurate records of inventory, shipments and other logistics-related information.
Update internal databases and systems.
Prepare reports and information for management.
Enter and maintain data accurately across relevant systems.
Prepare, organise and file documentation relating to logistics operations.
Assist with paperwork including shipping documentation, Customs forms and manifests.
Customer Communication
Communicate professionally with customers regarding shipment status and delivery schedules.
Respond to customer queries and provide updates throughout the shipment process.
Liaise with clients, artists and internal teams to ensure requirements are understood and met.
Escalate any issues or delays appropriately.
General Duties
Assist with general administrative and office-based tasks as required.
Support the wider Fine Art team with day-to-day operational requirements.
Take on additional ad-hoc responsibilities as required.
Requirements
The successful candidate will ideally demonstrate:
A genuine interest in fine art and the logistics involved in transporting valuable and delicate items.
Strong organisational and multitasking skills, with the ability to manage several tasks simultaneously.
Excellent verbal and written communication skills.
The ability to communicate confidently and professionally with clients, artists and internal teams.
Exceptional attention to detail and the ability to maintain accurate records and documentation.
Good working knowledge of Microsoft Office, including Word, Excel and Outlook.
Experience with inventory management or logistics systems would be advantageous.
The ability to work independently while also contributing effectively within a team.
A proactive, flexible and positive approach to work.
The willingness to undertake ad-hoc tasks and support the wider operation when required.
Flexibility to work occasional evenings and weekends where operational requirements dictate.
